Hosting External Guests on Campus

Clubs may host external visitors for on-campus events, so long as they follow the onboarding process below.

Please note that all attendees who are not current Stern students (including alumni and non-Stern, NYU students) qualify as external guests.

  • Step 1: Request Approval

The approval process for external speakers begins when you request a room for your event on EMS. On the portal, under Request Classroom or Event Space, you will see the option to specify the names of featured speakers and their affiliations (pictured below).

If you are unsure of the exact speakers, you may list "TBD", but please list all organizations/external companies involved in order to gain approval for your event.

If you are expecting external guests as attendees (outside of speakers), please specify how many you are expecting in total in order to receive approval for your event.

  • Step 2: Receive Approval

When requesting a room on campus, you will receive a room confirmation email once the event is approved and you have been assigned a room. By receiving the room confirmation email, your external speakers and guests have also been approved.

  • Step 3: Enter Guests into JRNY

Clubs are responsible for sponsoring their external guests (attendees, speakers, etc) in JRNY. At least two business days before your event, please submit a guest access request. All guests need to be entered into the system, with KMC, Shimkin and Tisch Hall selected (pictured below). They will receive a building access email once the request has been approved, which they can reference for directions on how to enter the building.

  • Step 4: Contact OSE for Security Memo

At least two business days before your event, please email gradOSE@stern.nyu.edu with a full list of external guests for the event, along with the sponsoring club name, event title, time, and location. We'll distribute a security memo to the security team on your behalf.

  • Step 5: Assign a Volunteer to Welcome the Guests

We recommend that you specify an entrance for all external visitors (KMC, Shimkin, or Tisch), so they have an exact address to navigate to when they arrive on campus. When your guest is here, assign a student to greet the escort them in, around, and out of the building. The student should meet them outside of KMC before they come inside.
